HRIS API Connector Instructions - Workday

Summary

A secure connection to your HRIS is required in order to access your Parity.org® ParityINDEX® dashboard. Once Parity.org is able to access your HRIS data through a secure connection (API), we can begin to set-up your ParityINDEX dashboard.

Instructions

1. Create a Custom Report

This custom report will contain all of the necessary data from your HRIS used to power the tools within ParityINDEX®.

In Workday, please select the following data points to be included in the custom report:

  • Employee Title

  • Employee ID number* 

  • Gender

  • Employee location (ZIP/Postal Code)

  • Employee location (Country)

  • Department**

  • Hire date

  • Termination date

  • Termination reason

  • Supervisor ID*

  • Supervisor Title

  • Employee status (full/part time)

  • Ethnicity/race

  • Age

  • Employee pay rate

  • Bonus pay

  • Commission

  • Currency

  • Pay rate effective date

  • Pay change reason

  • Leave of absence reason

  • Leave of absence start date

  • Leave of absence stop date

  • Highest level of education

2. Create a User

This User will be created within Workday so that Parity.org® will be able to connect to your HRIS.

Follow Workday’s instructions to add a new User.

3. Add User to Custom Report

By adding the newly created user to the newly created custom report, ParityINDEX® will be able to retrieve the same data points in the custom report.

NOTE: Parity/ParityINDEX will NOT have the ability to interact or update the data that is available from the custom report; it will have read-only access. It will also NOT have the ability to retrieve or access data that is omitted from the custom report or any other reports outside the custom report. 

Follow Workday’s instructions to add a user to a report.

4. Retrieve Custom Report URL/API Key

The Custom Report URL (API Key) will allow ParityINDEX® to retrieve the necessary data from the appropriate report.

  1. Log into Workday.
  2. Search ‘Public Web Service’.
  3. Click on ‘Public Web Services’ link.
  4. Scroll down to ‘Human Resources’.
  5. Right click or click a menu icon.
  6. From the ‘Web Service’ tab, right click on ‘View WSDL’.
  7. Copy the URL.
  8. Log into ParityINDEX® at https://index.parity.org/login/ with the same credentials you registered with prior.
  9. Once you’re successfully logged in, click ‘Welcome, [NAME]’ in the top, right corner. Select ‘Data Settings’.
  10. Enter the Workday login credentials of the newly created user in the ‘Workday User Name’ and ‘Workday Password’ fields, and paste the URL in the ‘API URL’ field.

5. Upload Historical Data

ParityINDEX® begins to collect your HRIS data from the date you successfully connect your HRIS to ParityINDEX®. However, if you would like to see your organization’s historical data in the ParityINDEX, you will need to separately upload that data via CSV file(s).

  1. Follow Workday’s instructions to download historical data as a CSV file from the newly created custom report.

  2. Log into ParityINDEX® at https://index.parity.org/login/

  3. Go to https://index.parity.org/data-settings/

  4. Under the “Historical Data” section of the page, follow the provided instructions to upload your historical data:

    1. Download the Historical Data Template provided.
    2. Make sure that Workday’s historical data export is formatted as defined by the downloaded template.                                       
    3. Once you have correctly formatted the data in the template, upload the completed CSV by selecting “Start Import”.

(NOTE: We recommend 1 CSV file per 1 month of data for the number of years you’d like represented in your dashboard.)

* This value will be replaced by computer-generated ID for privacy and security purposes.

**Your HRIS may have a different name or label. Please select the data element in your HRIS that best aligns with ‘Department’.
